The core agreement
GateCode provides a digital service for creating, sharing and verifying temporary collection, handover and access authorisations. By creating an account or using organisation functionality, you agree to use the service lawfully, keep your account secure and provide accurate information relevant to the authorisation you create.
1. The service
GateCode enables authorised users to create time-limited GateCodes, share a friendly code or secure pass, and allow a receiving organisation to verify the current authorisation state. Features may include school pickup, organisation administration, enterprise management, reporting, PWA installation, QR verification and other temporary-authorisation workflows.
2. Accounts and security
- You must provide accurate registration details and protect your sign-in credentials.
- You are responsible for activity carried out through your account unless caused by GateCode's failure to apply reasonable security controls.
- Organisation owners and administrators are responsible for assigning appropriate staff roles and removing access when no longer required.
- You must not attempt to bypass tenant boundaries, rate limits, authentication, security controls or access data belonging to another customer.
3. Creating GateCodes
The authoriser is responsible for entering accurate collector, subject, organisation and validity information. GateCodes should only be created where the authoriser has authority to grant the relevant temporary permission.
GateCode is an authorisation tool. Receiving organisations may apply additional identity, safeguarding, release or site-access procedures appropriate to their setting.
4. Organisation and school use
Organisation customers are responsible for their own operational procedures, lawful basis for personal data they control, staff permissions, safeguarding requirements and communications with the people whose data they submit. GateCode provides technical controls and documented processing commitments to support those responsibilities.
5. Acceptable use
You must not use GateCode to impersonate another person, create fraudulent permissions, harass or endanger anyone, upload unlawful material, probe other customers' data, distribute malware, overload the service or use automated tools to defeat security controls.
6. Availability and changes
GateCode is built for reliable operational use and may be updated to improve security, performance, usability, compliance or functionality. Planned maintenance and material service changes will be handled with reasonable care. Some functionality may depend on third-party hosting, messaging, payment, device or browser services.
7. Plans and payment
Where paid plans, trials or enterprise agreements apply, the applicable price, billing period, included features and cancellation terms will be presented before purchase or recorded in the relevant order or service agreement. No payment obligation arises merely from reading these terms.
8. Intellectual property
GateCode and its software, branding, interfaces and documentation are protected by applicable intellectual-property rights. Customers retain rights in the data and content they lawfully submit, while granting GateCode the limited rights needed to operate the service.
9. Suspension and termination
GateCode may suspend access where reasonably necessary to protect the platform, other customers or the public; respond to suspected misuse; comply with law; or address material breach of these terms. Users may stop using the service and may submit account-deletion requests through the Account & Privacy centre.
10. Responsibility and liability
Nothing in these terms excludes liability that cannot lawfully be excluded. Subject to that, GateCode is not responsible for decisions made by a receiving organisation outside the service, inaccurate information supplied by users, or losses caused by misuse of credentials or third-party systems outside GateCode's reasonable control. Any commercial liability limits in a paid organisation agreement take priority where they expressly differ from these public terms.
11. Data protection
Our Privacy Notice, Data Retention Standard and, for qualifying organisation customers, Data Processing Addendum form part of the wider GateCode data-protection framework.
12. Governing law and contact
These terms are governed by the laws of England and Wales, subject to any mandatory rights that apply to consumers elsewhere in the United Kingdom. Legal enquiries can be sent to support@gatecode.co.uk.
